The Administration team undertakes a variety of tasks which include but most definitely not limited to:
• Processing patient registration forms and patient deductions
• Summarising and updating patient medical records
• Subject Access Requests
• Online Access registration
• Process clinical referrals
• Coding of diagnoses, investigations from hospital correspondence and processing actions prior to passing to the GP for checking
• Liaise between patients, members of the primary healthcare team, secondary care and other healthcare agencies
• Coordinate Medical Research Trials
• Manage incoming and outgoing correspondence
• Book appointments for fast track patients
• Recalls for medication reviews, chronic disease management, NHS screening Cervical Cytology PSA and LARC.
Their work is crucial to the functioning of the practice providing patient care. They are relied upon by the clinical team, and patients to keep office operations running smoothly, including IT equipment and processes. In addition to performing administrative and supportive functions, they must know medical terminology and be familiar with various medical procedures.
Melanie Buckwell - Admin Manager
Hi my name is Mel and I am the Administration Manger. I have been part of the Maywood team for the past 12 years. I initially started working in reception then moved upstairs to the secretarial team to have then progressed to managing the Administration team. My job is to lead the team, to ensure excellent communications, resolutions of any issues and answer any queries. On a day to day basis I undertake a variety of administrative duties which include supporting the clinical staff with referrals, and to also receive, assist and direct patients in accessing the appropriate healthcare service. I will always try to facilitate effective communication between patients, members of the primary healthcare team, secondary care and other healthcare agencies. Part of my role is to coach, support and offer training to ensure a knowledgeable and engaged team.
Marion Cohen - Registrations
I have worked in General Practice for over 47 years initially in London and then the last 16 years with Maywood. I do administrative work, mainly new registrations and patient deductions. I work with an amazing team.
Audrey Morris - Read Coder
I started working at Maywood in 2008 ago as a receptionist but now work upstairs as a read coder alongside Ann. Our role entails taking information/investigations/diagnosis etc from incoming hospital letters and adding to patient records to keep them up to date. Every letter is read and any requests for blood tests/ medications or anything that needs actioning from hospital consultants are added and then sent to the GP for checking. Tasks are set up for future requests/recalls or appointments so that nothing gets missed.
Ann Vanzeebroeck - Read Coder
Having originally worked as an IT support and recall administrator at Maywood Surgery in Bognor Regis for two and half years, I decided I wanted to retire back to London. However, my manager offered me semi-retirement instead by enticing me to work remotely from home as a read coder. So, for the last 5 years, I have been proof reading clinical document that is scanned on, actioned any requests made and added relevant read codes into patients' electronic notes before filing or forwarding onto the GP. I am happy in my job and hope to continue to work remotely until I decide to fully retire.
Kim Waddington - Business Admin
Hi, I’m Kim and I’ve worked part-time at Maywood now for the past 10 months. My job is to summarise new patients' medical records and to help and support the admin team. I’m really enjoying my new role. I did work for Maywood for a short time back in 2003 helping on reception and with admin before I went to work abroad. Everyone at Maywood has supported me and made me feel very welcome and I’m really enjoying being part of a great team.
Victoria Wiltshire - Business Admin
My name is Victoria (but most people call me Vix). I’m part of the Business Admin Support team and my main role is as a Medical Summariser, however, I am quickly learning a lot of other areas within the team to help with the work load which I am very much enjoying as it adds variety and is expanding my knowledge of the surgery/systems. Considering my short time here so far it has been great. I am part of a fab team of great individuals who have made me feel so welcome: from making me a cuppa to giving me support, encouragement and help. Nothing is too much for them when it comes to answering my questions. Same can also be said about the wider team in the practice. Everyone has made me so welcome. I look forward to many more years here working in this lovely, friendly environment.
